Zajac Ranch Job Description – Program Coordinator
Organizational Overview:
Located on the shores of Stave Lake in Mission, BC, just one hour east of Vancouver, Zajac Ranch is situated on over 40 acres of pristine forested land. During the summer months, Zajac Ranch provides camps for children and young adults with chronic, life threatening and/or debilitating conditions. In the off-season, Zajac Ranch welcomes school groups and private rentals. Revenue raised from site rentals goes to supporting Zajac Ranch summer medical camps.

Compensation: $162.00 per day; MANDT Relational and Technical Training & Certification; plus, meals and accommodation provided during camp sessions.

Position Summary:
The Program Coordinator is a member of the senior camp management team, responsible for overseeing program scheduling, activity operations, and staff coordination to ensure a high-quality and engaging camp experience for all participants.
This role includes designing and implementing creative, skill-based, and inclusive programming—such as elective activities, special themes, and evening events—while managing program resources, budgets, and staff coverage. The Program Coordinator also assists in emergency response, provides supervision to activity staff, and reports regularly to the Camp Directors.
Key Responsibilities:
Program & Staff Supervision
- Train, mentor, and support Rangers (Activity Specialists) in their respective program areas.
- Manage program inventory, equipment, and maintenance requests to ensure all materials are prepared prior to camp opening.
- Maintain a visible presence at program sites, ensuring safety, engagement, and adherence to standards.
- Conduct regular check-ins with activity staff to evaluate program quality and delivery.
- Facilitate pre-camp and ongoing staff training sessions as required.
- Collaborate with senior leadership to enhance communication, consistency, and effectiveness across all programs.
- Complete mid-summer and end-of-summer staff evaluations in collaboration with the Camp Directors.
- Participate in daily senior staff meetings and contribute to problem-solving and team leadership.
Program Development & Delivery
- Design and oversee engaging camp programming, including electives, theme days, and special events.
- Develop and implement evaluation methods to ensure activities meet camp goals and camper needs.
- Visit program areas regularly to ensure safety, accessibility, and camper enjoyment.
- Supervise scheduling of activities and staff assignments to ensure optimal coverage.
- Ensure program binders, plans, and safety documentation remain current and accurate.
- Create backup plans for inclement weather and last-minute adjustments.
- Coordinate sign-up processes and group assignments for electives, special events, and Teepee Sleepouts.
Safety & Operations
- Serve as part of the senior on-call rotation (with Camp Directors and Unit Leaders) to respond to emergencies overnight.
- Promote a culture of safety among staff and campers, ensuring policies and emergency protocols are followed.
- Support crisis management and behavioral intervention in collaboration with the Camp Director and Nursing Director.
- Assist with emergency training and drills for all staff.
- Ensure program areas are clean, organized, and hazard-free before and after each session.
Off-Season Rentals (as applicable)
- Support rental group operations including set-up, meal service, activity facilitation, and clean-up.
- Provide excellent customer service and ensure guest satisfaction throughout their stay.
- Assist with outdoor education programming for visiting groups.
Qualifications & Experience:
- Strong belief in the value of inclusive camp programs for children and youth with medical needs.
- Bachelor’s degree or post-secondary education in recreation, education, social work, or related field (asset).
- Minimum 2 years of camp administration or programming experience.
- Experience supporting individuals with disabilities or behavioral needs (asset).
- Strong organizational, leadership, and communication skills.
- Ability to manage multiple projects and priorities in a dynamic environment.
- Proficiency in Microsoft Office and/or CampBrain (asset).
- Minimum 18 years of age (required).
- Standard First Aid & CPR-C (required).
- Clear Criminal Record Check with Vulnerable Sector Screening (required).
- Experience with camp activities such as canoeing, ropes, archery, or orienteering (asset).
- Leadership training experience (asset).
- Must live on-site during camp sessions; private accommodations provided.
Work Environment:
- Live-in role during camp sessions with weekends off.
- Requires flexibility, high energy, and the ability to work in an outdoor, fast-paced environment.
- Active participation in physical and recreational activities is expected.
